Formatting Woes: PDF vs. Other File Formats

PDF or Portable Document Format is a proprietary file format first developed by Adobe Systems. PDF is a widely used file format that combines almost all multimedia elements, like graphics and images, texts and fonts, layouts and sounds, into single documents.

Internet File Formats

The Internet is a rich source of all types of file formats. Yet even though they are all over the Internet does not mean they are the most practical file formats for downloads.

File formats such as .doc and .txt, for instance, are not the best file formats to use when sending files via email. Not only do they take up much space, and therefore take long to download, they increase the possibility of sending viruses and worms.

The commonest form of file format used in the Internet is .html which stands for HyperText Markup Language. Using a variety of script commands called “tags”, HTML is the premier language used in creating web pages that are graphic or text-based or both.

PDF vs. Other File Formats

PDF is the de facto file format used in electronic publishing and document distribution. It transcends all boundaries because it is essentially cross-platform, meaning it can run in any application without paying attention to the original program it was created from.

As opposed to other file formats where everything relies on paper print-outs, PDF makes the “paperless office” a very likely possibility. The PDF file format is especially useful in such documents as articles for magazines, brochures, or flyers in


which preserving the original graphic appearance is key to producing the best results online.

PDF files can also contain multimedia elements without comprising the file size. Compact and compressed, these PDF files can be sent over the Internet or an extranet with the guarantee that they’re viewable no matter what application the recipient might be using.

Unlike text documents, PDF is also an excellent file format for sending email attachments as they not only take less time to download but also, they are less likely to be corrupted by macro viruses.

PDF, for all its complex renderings, is a relatively simple tool to use. And with all the free conversion tools available in the Internet, PDF is cost-effective and cost-reductive.

The Downside to PDF file format

But even with ten years in the making, PDF file format is still far from perfect. For instance, PDF files may not look the same on screen as they do in hard copies. This is because some visual outputs cannot be gauged properly by the PDF reader. Another challenge is that it is hard to edit an existing PDF file. Some manufacturers have tried to solve this by coming up with the PDF editor but this too is far from perfect.
